Privacy policy

This explains what information the service holds, why, and what you can do about it.
What we collect
- Your account: email address, a hashed password (never the password itself), display name and time zone. Staff logins created by a shop have a username instead of an email.
- What you enter: tanks, water readings, events, equipment, livestock, stock records, orders, notes and photos you add.
- Shops: supplier names, invoice numbers and costs you record. Costs are visible only to a shop’s owner.
- Technical data: the address a request came from, used only to limit abuse, and kept briefly.
How it is used
To provide the service: showing your data back to you, sending emails you’d expect (confirming your address, resetting a password, summaries you opt into), and protecting accounts. We don’t sell your data or use it for advertising.
What customers of a shop can see
A shop chooses which tanks and which livestock appear on its public pages and map. Those pages show names, sizes, prices and availability the shop has chosen to show. They never show costs, suppliers or staff.
Who else handles it
- AI provider: when you use an AI feature, the relevant information (and photos you attach) is sent to Anthropic to produce the response. Invoice files are sent for reading and are not stored by us afterwards.
- Hosting and storage: our hosting and database providers, and cloud storage for photos you upload.
- Email delivery: a service that sends the account and summary emails.
Keeping it safe
Passwords are stored as one-way hashes. Saved API keys are encrypted. Each shop’s data is separated from every other’s. No system is perfectly secure, so use a strong, unique password.
Your choices
- Download your data from Settings at any time, as a file you can keep.
- Delete your account from Settings. This permanently removes the account, its data and uploaded photos.
- Photos attached to events and conversations are removed automatically after a retention period.
